New York Cue Club ("NYCC", "we", "us", or "our") operates the members-only application available at members.nycueclub.com (the "Service"). This Privacy Policy explains how we collect, use, and protect your personal information when you use the Service.

Who we are

New York Cue Club is a private members-only billiards club located at 20 West 37th Street, New York, NY 10018. The Service is operated by New York Cue Club, Inc. For questions about this Privacy Policy or your information, contact us at support@nycueclub.com.

Information we collect

We collect the following categories of personal information from members:

  • Identity and contact information: name, date of birth (for age verification), email address, phone number, mailing address, and a profile photo (uploaded by you).
  • Application information: information you provide when applying for membership, including referral source, billiards experience, playing preferences, and similar details used to evaluate your application.
  • Financial information: payment method details (processed and stored by our payment processor, not by NYCC directly), billing history, and transaction records.
  • Membership information: your membership status, type, plan, and participation in club activities (reservations, leagues, locker rentals, snack purchases).
  • Authentication information: login credentials and verified identifiers (email, phone) used to access your account.
  • Usage information: logs of your activity within the Service, including reservations, check-ins, league match results, and similar interactions.
  • Location information: when you check in for a reservation or unlock the door, the Service may verify that you are physically present at the club using your device's Wi-Fi connection or geolocation. Location data is used solely for presence verification and is not retained beyond the verification event.
  • Door access logs: when you unlock the club's door using the Service, the entry event is logged for security purposes.
  • Identity documents: when required during onboarding, an image of a government-issued ID may be uploaded for age verification and member identification.

How we use your information

We use your information to:

  • Operate and maintain your membership account.
  • Process payments, billing, refunds, and disputes.
  • Communicate with you about your membership, reservations, leagues, billing, and club events (see "Communications" below).
  • Verify your identity, age, and presence at the club.
  • Enforce club rules, House Rules, and the Membership Agreement.
  • Comply with legal obligations and resolve disputes.
  • Improve the Service and develop new features.

Communications

We may contact you by email, in-app notification, and SMS based on your preferences and on the type of communication.

Mandatory communications. Some communications are required for the operation of your membership and cannot be disabled. These include billing notifications (payment receipts, payment failures, card expiration warnings), membership lifecycle notifications (welcome, status changes, cancellation confirmations), and security-related messages.

Optional communications. Other communications, including reservation reminders, opponent change notifications for shared reservations, and league match updates, are optional and may be enabled or disabled per category and per channel (email, in-app, SMS) on your communication preferences page within the Service.

SMS messaging. New York Cue Club may send SMS text messages to members for two purposes: (1) to deliver one-time verification codes used to log into the member application and to verify phone numbers during account onboarding and phone number changes, and (2) to deliver account notifications based on each member's communication preferences. Members opt in to SMS by entering and verifying their phone number during onboarding. To stop receiving SMS messages, reply STOP to any message. For help, reply HELP. Message and data rates may apply. Message frequency varies based on member activity and preferences. Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Information shared with subprocessors solely to deliver SMS messages (such as our SMS service provider Twilio) is not shared for those providers' marketing purposes. SMS opt-in data and consent will not be shared with any third party.

Service providers

We share information with the following third-party service providers solely to operate the Service. These providers are bound by their own privacy policies and contractual obligations to handle your data in compliance with applicable law.

  • Supabase, Inc. — provides our database, authentication, and storage infrastructure.
  • Stripe, Inc. — processes payments and stores payment method information. NYCC does not directly handle or store full credit card numbers or bank account numbers.
  • Twilio Inc. — delivers SMS messages.
  • Resend, Inc. — delivers transactional email.
  • Brivo Inc. — manages door access control.
  • Cloudflare, Inc. — provides DNS and content delivery network services.
  • Vercel Inc. — provides hosting for the Service.

We do not sell your personal information. We do not share member phone numbers with third parties for marketing purposes.

Cookies and local storage

The Service uses browser local storage and cookies to maintain your authenticated session and to remember certain preferences (such as dismissed notifications). We do not use third-party tracking cookies, advertising cookies, or analytics cookies that share your data with third parties for marketing purposes.

Your rights

You may:

  • Access and review the personal information we hold about you by viewing your member profile or contacting support@nycueclub.com.
  • Correct inaccurate information by editing your profile or contacting us.
  • Update or delete your phone number or email address subject to verification.
  • Request deletion of your account by contacting support@nycueclub.com. Some information may be retained for legal, financial, or audit purposes as required by law.
  • Opt out of optional communications at any time via your communication preferences page within the Service, or by replying STOP to SMS messages.

Data retention

We retain personal information for as long as your membership is active. After cancellation, we retain certain information (billing records, member enrollment logs, audit logs) for the period required by applicable law and our reasonable business needs. Identity documents and other sensitive information are retained only as long as necessary for their intended purpose.

Security

We implement reasonable administrative, technical, and physical safeguards to protect your information. No method of transmission or storage is 100% secure, but we work to protect your information using industry-standard practices including encrypted connections (HTTPS), encrypted data storage, and access controls.

Children's privacy

The Service is intended only for members of New York Cue Club, all of whom are 21 years of age or older. We do not knowingly collect information from anyone under 21.

Changes to this Privacy Policy

We may update this Privacy Policy from time to time. We will indicate changes by updating the "Last updated" date at the top of this page. Material changes will be communicated to members via the Service.
